Why do we collect your data?
All the data we collect and hold about you as an individual (your ‘Personal Data’), which may include your name, business address, email address and telephone number, is held and processed by us in accordance with the law and our Privacy Policy. This means that Knight Frank will only use your Personal Data for the purposes for which it is collected, and will only keep it for as long as is necessary to fulfil these purposes (unless there is a legal obligation to keep it for longer).
We will only use your Personal Data to help you find the property you want (unless you specify otherwise). We will also ask for your consent to send you commercial information or inform you of our other services.
Who do we share your data with?
Knight Frank respects your privacy and will therefore never share your Personal Data with anyone for any reason whatsoever. In fact, we will only share your Personal Data with third parties in the following three cases:
When we are required by law or by a court order to share your Personal Data (this could consist of background checks - such as credit reference checks through agencies - or to fulfil other regulatory purposes);
When you instruct us to share your Personal Data or give us your express consent to share it (for example, if you ask us to share your contact details with your notary, bank or mortgage advisor); or
When the nature of the services we provide to you requires us to share your Personal Data (for example, if you wish to visit a property, we will probably have to share your name and contact details with the seller/owner or the building manager).
At your request, we will quickly provide you with the contact details of the people with whom your Personal Data has been shared and the reason for this sharing.
How do we store your data?
When you provide us with your Personal Data, we process it using our systems, which means that your details are entered into our secure databases. We have a security measure in place to guarantee that your data is not lost, stolen, accessed by unauthorised third parties or falsified in any way. Internally, your Personal Data will only be accessible to members of our staff who need to consult it (which will depend on the nature of the services we provide to you).
Are we authorised to carry out these operations?
Absolutely. For most operations, we have what are called ‘legitimate interests’; for almost all others, we will ask for your ‘consent’ and, in some cases, we must process your Personal Data due to a ‘legal obligation’.
